What Is a Vehicle Quotation Format?

A vehicle quotation format is a pre-sale document through which a dealer, automobile trader or fleet supplier outlines a proposed vehicle, expected purchase price and commercial terms before the buyer places an order. It is a price offer, not proof of payment, ownership transfer or vehicle registration.

A useful quotation identifies the vehicle category, make, model, variant and fuel or powertrain, and distinguishes the vehicle’s quoted base price from insurance, registration, accessory and other applicable charges. Buyers can compare offers on a like-for-like basis and understand which amounts are firm and which are estimates.

How to Create a Vehicle Quotation

Identify the Buyer

Add customer name, contact details, quotation number, issue date and expiry date.

Specify the Vehicle

Select make, model, variant, model year, fuel type and colour or configuration when relevant.

Break Down the Price

List quoted vehicle value, taxes where applicable, estimated registration and insurance, accessories and discounts.

Clarify Conditions

Mention stock availability, booking amount if any, financing assumptions, delivery period and what is excluded.

Review and Share

Verify the figures, mark provisional charges and send the dated quotation for customer approval.

Essential Fields to Include in a Vehicle Quotation

Seller and Buyer Details

Include dealership or seller name, business address, phone, GSTIN where relevant, buyer name and contact details, quotation number, date and expiry.

Vehicle Identification

State new or used condition; category (passenger, two-wheeler or commercial); make, model, variant, model year, fuel/powertrain, transmission and colour or load configuration as appropriate. For a specific used vehicle, include registration, odometer reading and identifying references where available; avoid publishing sensitive details unnecessarily.

Vehicle Price and Cost Breakup

Show the quoted vehicle price, available discount, applicable taxes included or separately charged, accessories, registration/RTO estimate, insurance estimate and other specifically identified charges. Explain which figures are optional, provisional or subject to actual confirmation.

Availability, Delivery and Payment

Specify stock or allocation status, estimated handover time, booking amount if requested, accepted payment methods and whether finance terms require lender approval.

Warranty and Conditions

For new vehicles reference the relevant manufacturer warranty; for used vehicles disclose any seller warranty or ‘as-is’ terms as applicable. Include validity, cancellation/refund terms for bookings, and customer acceptance instructions.

Vehicle Quotation vs Proforma Invoice vs Final Sales Invoice

Document When used What it establishes
Vehicle quotation Before purchase commitment Proposed specification, pricing assumptions and offer validity
Proforma invoice When a provisional transaction summary or advance request is needed Expected transaction information; not itself a final tax invoice
Final sales invoice At the actual supply/sale, as applicable Final billed consideration and applicable tax particulars

New Vehicle, Used Vehicle and Commercial Vehicle Quotations

New Vehicle Quotation

Focus on manufacturer model and variant, ex-showroom versus estimated on-road price, optional packs, warranty, availability and changes to registration or insurance costs.

Used Vehicle Quotation

In addition to model and pricing, mention vehicle age, condition, odometer disclosure, registration jurisdiction, known repairs, inspection status, transfer-related costs and which party handles transfer documentation.

Commercial Vehicle or Fleet Quotation

Identify wheelbase, body type, payload or GVW specification where relevant, number of units, fitments or fabrication scope, fleet discounts, delivery batches and any applicable registration, permit or finance assumptions.

Which Vehicle Quotation File Format Should You Choose?

Vehicle Quotation Format in Word

Best for a dealership that adjusts commercial terms and customer-specific notes frequently. Keep a master document and save a separate copy for each enquiry.

Vehicle Quotation Format in Excel

Useful for dealerships or fleet sellers comparing variants, accessory packages and provisional on-road costs. Double-check formulas and avoid treating estimated statutory charges as fixed.

Vehicle Quotation Format in PDF

Appropriate for presenting a reviewed quotation that retains its layout when forwarded or printed. Preserve an editable original to issue revisions.

Common Mistakes to Avoid When Quoting a Vehicle

  • Writing only the vehicle name without a precise model, variant or configuration.
  • Presenting an estimated on-road figure as guaranteed despite variable registration or insurance charges.
  • Mixing optional accessories and dealer-added services with compulsory charges.
  • Failing to label whether quoted prices are tax-inclusive and which charges are separately payable.
  • Leaving booking refund conditions, quote validity or likely delivery time unclear.
  • Reusing the same quotation after changing the price or model without a dated revision.
  • For used vehicles, omitting important condition, mileage or transfer-cost assumptions.

Frequently Asked Questions

Is a vehicle quotation the same as an invoice?

No. A quotation is a price offer or estimate, whereas a final sales invoice records the completed sale and applicable billing details.

Should registration and insurance be included in a vehicle quote?

It is useful to show them separately when presenting an estimated on-road cost. Mark them as estimates if the exact amounts depend on location, policy selection or final processing.

Can I use the same format for a used vehicle?

Yes, but include its condition, mileage, registration and ownership-transfer assumptions, and disclose any warranty or as-is conditions.

Does a vehicle quotation require GST?

A quotation is not itself a tax invoice. Clearly state the pricing and tax assumptions in the offer, and apply the correct GST treatment when the actual taxable supply is invoiced.

What should I do if vehicle prices change before delivery?

State the quotation's validity and any permitted price-variation conditions upfront. Issue a revised, dated quotation when terms change and obtain the buyer's approval.
